Legacy Log #003 What Building BOSS Athletics Really Looks Like Behind the Scenes

People often see the finished program, the athlete receiving support, or the announcement celebrating what has been accomplished.

What they do not always see is the work required to build a trustworthy organization behind those moments.

Today was one of those behind-the-scenes building days.

I created and organized systems that will help BOSS Athletics serve families, protect young people, manage assistance responsibly, and prepare for growth.

The work included completing our volunteer portal, creating a confidential incident-reporting process, rebuilding our public athlete-registration form, and developing a secure registration tracker.

But I took it even further.

I built an automated athlete-assistance process that guides families from their first registration through requesting support.

Each athlete receives a unique registration number. When assistance is appropriate, the parent receives an application already populated with information previously provided, eliminating unnecessary repetition.

Once the application is returned, the system records its receipt and supports the review and approval process.

Approved families receive a personalized agreement explaining the award amount, approved purpose, provider, restrictions, responsibilities, and documentation requirements.

When the agreement is returned, the system records it and moves the award into payment tracking.

The complete process now follows a clear path:

Registration → Application → Review → Approval → Agreement → Payment Tracking

I also established safeguards so private information remains restricted, assistance is tied to documented purposes, and funds can be tracked from the original request through completion.

Was it glamorous? No.

Was it easy? Definitely not.

There were scripts, forms, spreadsheets, triggers, permissions, email-delivery problems, testing, corrections, and plenty of moments when the “easy button” did not feel easy at all.

But this is what building looks like.

BOSS Athletics is not being built only for what exists today. It is being built for the young people, families, volunteers, programs, partnerships, and opportunities still to come.

The public may eventually see an athlete attend a camp, receive training, join a team, find a mentor, or grow spiritually.

Behind that opportunity will be an organization prepared to serve with order, accountability, safety, and purpose.

Today, I did not simply create a few forms.

I built another part of the foundation.
